Event Policy

Luncheon Cancellation Policy

Cancellations must be received in writing at events@aceatx.com at least 72 hours prior to the event to receive a full refund. Registrations canceled within 72 hours of the event and no-shows are non-refundable. Substitutions are welcome at any time.

Any applicable payment processing or convenience fees are non-refundable.

Happy Hour Cancellation Policy

Cancellations must be received in writing at events@aceatx.com at least 48 hours prior to the event to receive a full refund. Registrations canceled within 48 hours of the event and no-shows are non-refundable. Substitutions are welcome.

Golf Tournament Cancellation Policy

Team and individual registration cancellations must be received in writing at events@aceatx.com at least 14 calendar days prior to the tournament to receive a refund. Cancellations received within 14 days of the tournament and no-shows are non-refundable. Player substitutions are permitted at any time prior to the event.

Sponsorship commitments are non-refundable once confirmed.

Golf tournaments are held rain or shine unless the golf course or ACEA determines conditions prevent the event from being safely conducted. If ACEA reschedules the tournament, registrations and sponsorships will automatically transfer to the rescheduled date.

Clay Shoot Cancellation Policy

Team and individual registration cancellations must be received in writing at events@aceatx.com at least 14 calendar days prior to the event to receive a refund. Cancellations received within 14 days of the event and no-shows are non-refundable. Participant substitutions are permitted at any time prior to the event.

Sponsorship commitments are non-refundable once confirmed.

The Clay Shoot will proceed as scheduled unless the venue or ACEA determines weather or other conditions prevent the event from being safely conducted. If the event is rescheduled, registrations and sponsorships will automatically transfer to the rescheduled date.

Fish Fry Cancellation Policy

Ticket and table cancellations must be received in writing at events@aceatx.com at least 7 calendar days prior to the event to receive a refund. Cancellations received within seven days of the event and no-shows are non-refundable. Attendee substitutions are welcome.

Sponsorship commitments are non-refundable once confirmed.

If the event must be rescheduled for any reason, registrations and sponsorships will automatically transfer to the rescheduled date.

Annual Symposium Cancellation Policy

Attendee Registrations: Cancellations must be received in writing at events@aceatx.com at least 7 calendar days prior to the Symposium to receive a full refund. Cancellations received within seven days of the event and no-shows are non-refundable. Attendee substitutions are welcome.

Exhibitor Registrations: Exhibitor cancellations must be received at least 30 calendar days prior to the Symposium to receive a refund. Exhibitor cancellations received within 30 days of the event are non-refundable.

Sponsorships: Sponsorship commitments are non-refundable once confirmed.

If for any reason the Symposium must be rescheduled, registrations, exhibitor reservations, and sponsorships will automatically transfer to the rescheduled date.

General Event Terms
All cancellation requests must be submitted in writing to events@aceatx.com. Refunds, when applicable, will be returned to the original method of payment. Payment processing and convenience fees are non-refundable. ACEA reserves the right to modify event schedules, speakers, programming, and other event details when necessary. If ACEA cancels an event, registered participants will be notified regarding applicable refund, credit, or rescheduling options.
